The AI drafting feature is genuinely good. But at $30 for the entry plan and $50 for Pro, I was paying for meeting summaries and CRM integrations I was not using, while the one thing I cared about, contextual inbox prioritization tied to my specific client relationships, was not configurable enough to match my actual workflow.</p> <p>Both tools also assume you are one person in one company. If you want to use it on your work machine and your personal laptop, you should be able to.</p> <h2>Whether You Use AdaptoInbox or Not</h2> <p>The point of this post is not just to pitch a product I built. On a good day it took 20 minutes. On a Monday after a weekend incident it took 45. I was making decisions about my priorities before I had the full picture. That bothered me.</p> <p>So I built AdaptoBriefing. It is a morning briefing skill for Claude Code that runs at 6am, pulls my schedule, open tickets, pending tasks, and flagged emails into a single formatted report, and delivers it before I have had a real conversation with anyone. The AI morning briefing for IT leaders I always wanted but no tool was selling.</p> <h2>What the Old Morning Actually Looked Like</h2> <p>Before I built this, my first hour looked like this: ConnectWise for tickets, Outlook for email priorities, Airtable for delegated tasks and decisions, Teams for anything that blew up overnight. Four tabs minimum. Often six. And the synthesis happened inside my head, which meant it was only as good as my memory of what I had flagged two days ago.</p> <p>The information existed. It was just scattered. What I needed was not more dashboards. I needed a morning report the way an executive assistant would produce one: pulled together, prioritized, and ready to read in under three minutes.</p> <p>I had been calling these reports "briefings" in my head for years. I had tried Notion dashboards, tried CW reports, tried a Power Automate flow that sent me an email summary. None of them talked to each other. None of them knew that the P1 ticket on the overnight log was at the same client as the 9am QBR I had scheduled.</p> <p>That context is everything. And no dashboard gives you context. Context requires synthesis.</p> <h2>How AdaptoBriefing Actually Works</h2> <p>AdaptoBriefing runs as a scheduled skill inside Claude Code. Here is the actual structure:</p> <h3>The Data Pull</h3> <p>At 5:55am, the briefing skill fires and pulls from four sources:</p> <ul> <li><strong>Microsoft 365 Calendar</strong> via Graph API: today's meetings, attendees, meeting type (client vs. internal), and any prep materials linked in the invite</li> <li><strong>ConnectWise PSA</strong>: open tickets assigned to me, any P1 or P2 incidents regardless of assignment, and tickets that have been waiting on client response for more than 5 days</li> <li><strong>Airtable NEST</strong>: open tasks delegated to agents, decisions pending in the Agent Queue, and any items flagged as due today</li> <li><strong>Outlook/Graph inbox</strong>: emails flagged for follow-up, anything from my key client contacts that arrived after 5pm the previous day, and any calendar invites requiring a response</li> </ul> <p>That pull takes about 40 seconds. Real production numbers.</p> <h3>The Synthesis Pass</h3> <p>This is where Claude earns it. The raw data goes into a prompt that tells Claude to produce a briefing in this structure:</p> <ul> <li>Today at a glance: meeting count, client count, P1/P2 status</li> <li>The one thing I cannot miss today (Claude picks this from the full picture)</li> <li>Client situations that need my attention before 9am</li> <li>Delegation status: what my agents finished overnight, what is blocked</li> <li>Follow-up debt: emails and commitments from yesterday that have no response yet</li> </ul> <p>The synthesis prompt is about 800 words. It took me three weeks of refinement to get it right. The first version gave me summaries. What I wanted was priorities. There is a difference. A summary says "you have 12 open tickets." A priority says "the oldest ticket is 9 days stale at Irongate, which is a VIP account, and you have a call with them at 2pm."</p> <h3>The Delivery</h3> <p>The report delivers as a formatted markdown document to a Teams channel I named "Morning Briefing" with only me in it. That was intentional. I did not want it in email because email is where the morning chaos lives. I wanted it somewhere clean.</p> <p>On my phone it takes about 90 seconds to read. That is the target. If it ever goes over 90 seconds, something in the prompt has drifted and I tighten it.</p> <h2>The Part That Did Not Work the First Time</h2> <p>Let me be honest about the failure here. The first version of AdaptoBriefing was too verbose and too deferential. Claude wanted to give me balanced context on everything. I did not want balance. I wanted signal over noise, and I had not told Claude that clearly enough.</p> <p>The prompt I started with said something like: "Summarize the key items for the day and flag anything that needs attention." That is a terrible prompt for a morning briefing because Claude interpreted "key items" as "most things." The first report was 1,200 words. I was not reading 1,200 words at 6am. I was skimming it and missing things.</p> <p>The fix was specificity. I rewrote the prompt to say: "You are producing a morning briefing for a CIO. The maximum length is 400 words. If you cannot fit everything, leave out what is least urgent. Your job is not to inform me of everything. Your job is to surface what requires my decision or action before 10am." That change alone made the briefing useful.</p> <p>I also had to handle the Graph API authentication refresh. The first time my Microsoft token expired in the background, the briefing ran without calendar data and did not tell me. It just delivered a briefing that said "no meetings today" when I had four. I added a validation step that checks each data source and surfaces a warning if any pull returns empty. Simple fix but it took an incident to get there.</p> <h2>What This Looks Like After 60 Days</h2> <p>I have been running AdaptoBriefing in daily production for about two months. Here is what actually changed:</p> <p>My first hour is different. Not because I have more time, but because I walk into it with a mental model already loaded. By the time I sit down at my desk, I know which client needs a callback before our 9am, which agent finished its overnight task, and which ticket has been sitting long enough that I need to personally touch it today.</p> <p>Decision quality improved in a way I did not expect. When you start the day already synthesized, you are not spending mental energy on triage. You start at priorities. That sounds obvious in a blog post. In practice it took me six months of pain to get there.</p> <p>I also stopped missing follow-up commitments. The briefing surfaces follow-up debt from yesterday. If I told a client I would get back to them on something and there is no response in Outlook, it shows up. That alone has been worth the build time.</p> <h2>How to Build This for Yourself</h2> <p>You do not need 47 agents to run a morning briefing. You need Claude Code, API access to your PSA and calendar, and an afternoon to build the first version. Here is the starting architecture:</p> <ul> <li><strong>Claude Code</strong> with a scheduled task (I use a cron job running at 5:55am)</li> <li><strong>Microsoft Graph API</strong> for calendar and email (app registration in your M365 tenant, delegated Calendar.Read and Mail.Read permissions)</li> <li><strong>Your PSA's REST API</strong> for ticket data (ConnectWise, Autotask, HaloPSA all have REST APIs with ticket endpoints)</li> <li><strong>Airtable API</strong> if you run tasks or delegation tracking there (optional but powerful)</li> <li><strong>A delivery channel</strong>: Teams channel, email, or a simple file drop depending on your preference</li> </ul> <p>The prompt engineering is where you will spend most of your time. Expect to iterate for two to three weeks before the briefing feels like it knows you. That is not a flaw in the system. It is just how prompt tuning works at this level of specificity.</p> <p>If you want a head start, AdaptoBriefing is available as a packaged skill. The core prompt is included. You still need to wire your own API credentials and tune the output format to your workflow, but the architecture is done.</p> <p>The 6am briefing changed how my mornings work. I am not recommending it because I built it.
